The Office Assistant position is a full-time, non-exempt position and reports to the Facilities & Office Manager. This
individual sits at our front desk and serves as the very first point of contact for all visitors, vendors, potential volunteers,
staff and clients. This position is responsible for providing excellent customer service through living the mission of
BBBSKC with every interaction. The Office Assistantis a problem solver role and requires flexibility and adaptation in a
fast-paced environment.

• Provide exceptional customer service to all internal and external customers
• Serve as primary agency receptionist and point of contact for all in office visitors, staff, vendors and
• Responsible for opening and closing the office each day
• Responsible for ensuring a clean, welcoming environment (organized, clean, stocked, in good condition,
• Assist with planning and coordinating logistics for board meetings, staff meetings, committee meetings,
lunch and learns and other internal BBBS events
• Create and mail weekly donation receipt tax letters as well as assisting with other large bulk mailings
• Manage staff and board meetings by setting up rooms, print and distribute materials, order food and
drink, coordinate hospitality and othertasks related to meeting the needs of the organization, etc.
• Order office supplies as needed
• Manage daily mail process including routing mail, preparing cash and check log for donations, scanning
checks, and other payments/expense distributions as received
• Manage the online website chat feature to engage with individuals visiting our website who wantto ask
questions about the BBBS program and Saver’s partnership
• Assist potential volunteers and families by answering questions in person, over the phone and/or online
and signing them up to attend volunteer info sessions when applicable
• Assist callers and visitors with Saver’s blue bin drop offs, finding a Saver’s store near them or contacting
our partners for donation pick ups
• Assist the Facilities & Office Manager in handling all tasks associated with facility management
• Provide administrative support to our Community Outreach team by assisting at Volunteer and Family
Orientation meetings which will require occasional night and weekend hours
• Assist the Facilities & Office Manger with the key card, alarm systems and building vendors as needed
• Take supporters and guests on office tours
• Manage the daily updates needed to our office digital signage in coordination with our Marketing team
• Ability to prepare communications such as memos, meeting notes, emails, Excel reports, Power Point
presentations, etc.
• Create and maintain filing systems, electronic and physical
• Provide administrative support to the Leadership team as needed
• Assist in providing a welcoming environment that supports a positive culture within the office
• Additional duties as assigned, occasional nights and weekends required
Our ideal candidate will be an energetic, detail oriented, team player, who demonstrates the ability to be adaptable with
a general attitude that no task is too small. This position requires the ability to manage multiple tasks and work under
competing time demands. The ideal candidate will have the ability to make thoughtful, independent decisions while still
collaborating with other staff on a regular basis. Knowing how to keep yourself and others organized while bringing a
customer service approach to every encounteris a must.
Candidates must also possess the ability to set and accomplish goals. Must be highly organized with the ability to
multitask and provide great follow through. You should be able to work independently and also work well with a team as
you will work alongside our BBBSKC team members daily.

● Minimum of 2 years of administrative duties or a combination of education and 2 years of customer service
● High school diploma or equivalent required, associates degree encouraged but not required
● Experience or comfortability working with technology preferred (Phone Systems, Copiers, Microsoft Office,
Power Point, Excel, TVs & AV Equipment, Apple TV, Dell technologies, etc.)
● Proven ability to manage multiple tasks and competing time demands
● Excellent organizational, customer service and interpersonal skills required
● Bilingual in English/Spanish is a plus

$30,000-$35,000 depending on experience
