Job Description

The CRM Data Specialist in the Office of Admissions is responsible for maintaining and validating data within the CRM system (Slate) and the Student Information System (SIS – PeopleSoft). The role involves resolving errors, creating, and running queries, and ensuring the accuracy of application data. The specialist will also be actively involved in daily monitoring of processes, loading external data to Slate, managing data feeds between systems, and providing technical support to the admissions team.

Key Responsibilities:

  • Data Maintenance and Validation:
    • Resolve errors in CRM (Slate) and SIS (PeopleSoft), including those received from the Registrar’s Office.
    • Run pre-written Slate queries to identify and correct records in an error state.
    • Address errors reported by admissions colleagues or other Slate users.
    • Write new Slate queries to proactively monitor potential error situations.
    • Verify application data, including residency, sex existence, and address validity.
  • Monitoring Processes:
    • Daily monitoring of scheduled and ad-hoc processes between CRM (Slate) and SIS (PeopleSoft).
    • Import record data into Slate as requested by recruiters.
    • Attend to file import failures and resolve underlying errors.
    • Manage scheduled processes such as Education Load and ImageNow PDF File Feed.
  • Loading External Data to Slate:
    • Load various external data types, including test scores, external applications, and prospective student lists.
    • Examples include ACT via Encoura, SAT via College Board, GRE via PTE, etc.
  • Managing Data Feeds:
    • Handle data feeds between Slate, PeopleSoft, and Imaging System (Perceptive Content).
    • Morning application loads, decision loads, and mass matriculation processes.
    • Identify team members to cover tasks during unavailability.
  • Admissions Procedure Knowledge:
    • Maintain knowledge of admissions procedures, documenting processes, and updates continuously.
    • Publish documentation for CRM Team accessibility post-employment.
  • Technical Skills Development:
    • Complete Slate Launchpad training series.
    • Undertake job duty Percipio classes and training series.
    • Attend webinars and community conversations to enhance technical skills.
  • Internal Constituent Support:
    • Provide prompt, helpful, and accurate feedback to internal constituents.
    • Monitor UMKC Slate Users team and address questions within scope.
    • Respond to Teams messages same day, emails, and voicemails within two business days.
  • Professional Representation:
    • Act as a professional representative of the university.
    • Stay updated on University programs and initiatives.
    • Attend annual University-wide recruitment trainings.
  • Visiting Student Application Processing:
    • Release daily admits decisions for visiting students.
    • Manually matriculate records when necessary.
    • Ensure accuracy in application fee charges, payments, refunds, and waivers.
    • Perform data entry of hard-copy applications.

This position requires a proactive approach to data management, technical proficiency, and the ability to support internal stakeholders effectively.

 

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

$15.00 – $19.00 per hour commensurate with experience, education, and internal equity
